The dashboard is green. The debtor isn't.

Revenue is on track, reports are up to date, and the dashboard is all green. Yet an invoice remains unpaid. How is that possible?

Many organizations rely on internal data to make decisions. While this provides valuable insights into revenue, margins, and operational performance, it does not offer a complete picture of the risks outside the organization. It is often (potential) customers and suppliers that show early warning signs which can have a direct impact on cash flow.

Look beyond your own data
An internal dashboard shows what’s happening within the organization. It displays revenue trends, outstanding items, and payment history. What it doesn’t show are changes at the (potential) customer or supplier.
 
That’s a significant blind spot. A customer may pay on time for years and yet suddenly run into financial difficulties. Signs such as a declining credit score, changing payment behavior, or mounting arrears can serve as an early warning that action is needed.
 
In the current economic climate, this is more relevant than ever. Bankruptcies are on the rise, and many companies have less financial flexibility than they did a few years ago. Those who only discover risks when a payment is missed are often playing catch-up.

Early warning signs make all the difference
Recognizing changes is often more important than flagging a one-time incident. A customer who has paid on time for years and suddenly starts paying late deserves attention. This data is also crucial for screening new customers so you truly know who you’re doing business with.

Important indicators include:

  • a declining credit score;

  • deteriorating payment behavior (late payment index);

  • an outstanding balance exceeding the agreed-upon (internal) limit;

  • an increasing number of disputes;

  • a deteriorating sector or country risk.

These signals do not automatically mean that a (potential) customer is in trouble, but they do provide grounds for further assessment of the situation or for asking additional questions.

From insight to action
Data only becomes valuable when action is taken based on it. When a risk signal appears, for example, organizations can reassess their policy toward the customer, send payment reminders more frequently, request a down payment, or conduct additional checks on new orders.

By consolidating business information, payment behavior, and credit risks into a single overview, issues become visible sooner—often even before you decide whether or not to do business with a customer. For existing customers, early signals make it possible to respond more quickly and make better-informed decisions before payment problems actually impact liquidity.

A single customer view for all teams
In many organizations, sales, finance, and credit management teams still work with different information about the same customer. As a result, risks are sometimes identified too late.

With a single shared customer view
, all relevant teams have access to the same up-to-date information. This prevents surprises, improves collaboration, and helps organizations proactively manage risks.

The conclusion? A green dashboard does not automatically mean that a customer is financially healthy. By combining internal data with up-to-date information about (potential) customers and suppliers, organizations can identify risks earlier and better protect their cash flow.
